Oracle HCM: How to Download Data from an
Instance Using the VBS Add-In

Oracle’s Visual Builder Add-In for Excel (VBS Add-In) makes it easy to extract data from Oracle HCM Cloud.

This step-by-step guide walks you through downloading data from an instance using this tool.

Prerequisites

  1. Access to Oracle HCM Cloud.
  2. The Oracle Visual Builder Add-In for Excel (VBS Add-In).

Step 1: Download and Install the VBS Add-In

  1. Visit the Oracle Visual Builder Add-In download page.
  2. Download the add-in. You will receive a file named vb-excel-addin-4.x.x.x.zip.
  3. Extract the zip file to a destination folder.
  4. Run the installer (vbafe-installer-current-user.msi).
    • Note: Close all open Excel files before starting the installation.
  5. Once installed, open Excel, and you will see a new tab labeled “Oracle Visual Builder.”

Step 2: Configure the Add-In to Connect to Oracle HCM

  1. Open Excel and select the Oracle Visual Builder tab.
  2. Click on the Designer option. A modal dialog will appear.
  3. To locate available REST API endpoints for Oracle HCM, refer to this documentation.
  4. Select the desired API endpoint. For this guide, we will use the Employees API.

Step 3: Set Up the REST API URL

  1. Identify the instance from which you want to download data.
  2. In the modal dialog, enter the API URL as the web address and click Next.
  3. When prompted, enter your credentials and click Next.
    1. Construct the API path. For example:
    2. https://<instance>.ds-fa.oraclepdemos.com/hcmRestApi/resources/11.13.18.05/emps/describe

    Replace <instance> with your instance details.

Step 4: Select the Business Object

  1. In the subsequent dialog, choose the business object to download. For this tutorial, select emps and click Next.
  2. Choose Table layout when prompted and click Next.
  3. Select any required descendant business objects, as needed.
  4. Click Finish to complete the configuration.

Step 5: Download the Data

  1. After completing the setup, you will see the configured business object on the right-hand side of the Excel window.
  2. Click the edit icon for the business object (e.g., “emps”).
  3. Navigate to the Download tab and modify the “Limit parameter value” based on your requirements.
  4. From the toolbar, select Download Data.

Step 6: Handle the Download Dialog

  1. While downloading, a dialog will appear with options:
    • Stop Now: Limits the data to the first 20 rows.
    • Download All: Downloads all available data.
  2. Choose the appropriate option based on your needs

Once the download is complete, the data will be displayed in Excel as shown below.
